1. What information do we collect?
- Application details you give us: name, email, age, school or employer, grade, city and time zone, background, research interests, essay answers and links you share.
- Parent or guardian details for applicants under 18: name and email.
- Payment details: handled by Stripe. We see the payer's name, email, the student's name and the amount, but never full card numbers.
- Scheduling details when you book a consultation through Calendly.
- Program records: attendance, project work, code and messages in program channels.
- Basic technical data collected by our website host (Cloudflare), such as IP address and browser type, for security. We do not use advertising trackers.
2. How do we use your information?
- To review applications, admit students and form teams.
- To run the program: scheduling, communication, feedback and compute access.
- To process payments and refunds.
- To keep participants safe and enforce our Terms.
- To improve the program, using aggregated, non-identifying information.
3. When and with whom do we share it?
We do not sell or rent personal information, and we do not use it for targeted advertising. We share it only with service providers that help us run the program, and only as needed:
- Stripe (payments)
- Web3Forms (delivering application forms to our email)
- Calendly and Google (scheduling, email and video calls)
- Cloudflare (website hosting)
- Collaboration tools such as Slack and GitHub (program communication and code)
- Cloud GPU providers (compute accounts, which may require a team member's email)
Your project title, abstract and authorship become public if your team publishes a paper or code. We may also disclose information if required by law or to protect someone's safety.
4. How long do we keep it?
Applications from people who don't enroll are deleted within 12 months. Records for enrolled participants are kept for up to 3 years after the cohort ends, for references and certificates, unless you ask us to delete them sooner. Session recordings are deleted within 90 days after the cohort ends. Payment records are kept as long as tax law requires.
5. How do we keep it safe?
We limit access to the mentor and anyone helping run the program, use reputable providers with encryption, and turn on two-factor authentication on our accounts. No system is perfectly secure, so please don't send sensitive information (such as ID numbers) to us.
6. Children's and minors' privacy
Our programs are for people 14 and older. We do not knowingly collect personal information from children under 13; if we learn we have, we delete it. For applicants aged 14 to 17, we collect a parent or guardian's contact details and require their agreement to enroll. We collect only what the program needs from minors.
7. What are your privacy rights?
You, or a parent or guardian for a minor, can ask us to access, correct or delete personal information, or to stop sending non-essential emails. Residents of some US states, including California, have additional rights under state law; we honor those requests too. We do not sell personal information. Our website does not respond to Do-Not-Track signals because it does not track you across sites.
8. How can you review, update or delete your data?
Email [YOUR EMAIL] from the address you used to apply. We respond within 30 days.
9. Updates to this policy
We may update this policy and will change the effective date at the top. If we make material changes, we will email enrolled families.
